Personal Document Translation You Can Rely On
A visa or immigration file is only as strong as its weakest page. If a name is spelled differently from the passport, a date is copied wrongly or a stamp is left untranslated, the embassy may delay the application or ask for the documents again.
Our personal document translation service is built around those details. We write every name exactly as it appears in the passport, copy numbers and dates as they are, translate stamps and handwritten notes, and have a second translator check the whole file before it is stamped and delivered.

Names that match your passport
Every name is written in the same Latin spelling used in your passport, across all your documents.
Complete translation
Stamps, signatures, margin notes and the reverse side of each document are translated as part of the text.
Double review
A second translator compares names, numbers and dates with the original before the personal document translation is stamped.
What Is a Certified Translation for Embassies?
A certified translation for embassies is an official translation of a document prepared by a certified translation office and delivered with its stamp, confirming that the translated text matches the original. Embassies and visa centres ask for it because the officer reviewing the file needs to read the document in a language they understand, and needs a responsible party behind the accuracy of the translation. In most cases a personal or machine translation is not enough.
Personal document translation is not only about converting words. It includes translating stamps, signatures and notes written on the document, writing names with the same spelling used in the passport, and copying dates and numbers exactly. A small difference, such as one letter in a name or one digit in a date of birth, can delay a visa application or mean that the documents have to be submitted again.
Because embassy requirements differ from one country to another, we recommend checking the document list of the embassy before translation. Some ask for the original document to be attested first, and some ask for a translation into their own language rather than English. We will help you prepare your personal document translation in the format they require.

When Do You Need Personal Document Translation?
Citizens and residents of Oman need certified personal document translation in many situations. These are the most common.
Visa applications
Tourist, business, study and work visas often require translated personal and financial documents. We prepare your personal document translation in the format the embassy or visa centre asks for, and arrange the documents in an order that makes them easy to review.
Residence and immigration
Countries that receive new residents usually ask for personal and financial documents to be translated and stamped. Immigration document translation must be complete and consistent, because the same names and dates appear across many documents in the file.
Family reunion
Family reunion applications depend on proving family relationships, which makes accurate personal document translation essential. Birth certificates, marriage contracts and family cards must be translated so that every name and date matches the passports of the family members.
Study abroad and recognition of qualifications
Students applying to foreign universities, or asking for their qualifications to be recognised in another country, need their certificates and transcripts translated. We also translate acceptance letters and proof of financial means for the visa file.
Consular procedures
Renewing documents, or registering births and marriages with your country’s embassy in Muscat, can also require certified translations of personal documents.

Translating Your File by Purpose of Travel
The documents you need depend on the type of application and the embassy’s requirements. These are the personal document translation files we handle most often for our clients in Muscat.
- Visit and tourist visas. Passport, bank statement, employer letter and travel bookings when needed.
- Schengen visas. A complete file of personal and financial documents prepared for the visa centre.
- Study abroad. Certificates, transcripts, recommendation letters and proof of financial means.
- Work and residence. Employment contracts, professional certificates, experience letters and personal documents.
- Immigration and family reunion. Birth certificates, marriage contracts and family cards.
If your embassy appointment is close, tell us when you order. We will plan the delivery around your appointment and deliver the most urgent documents first if needed.
Certified Translation and Attestation: What Is the Difference?
Many applicants confuse certified translation with attestation. A certified translation is prepared and stamped by the translation office to confirm that the translated text matches the original. Attestation is a procedure carried out by an official authority, such as the body that issued the document, the Ministry of Foreign Affairs or the embassy itself, to confirm that the document or the signature on it is genuine.
In most files, the original document is attested first, and the certified translation is then prepared from the attested copy, so that the attestation stamps are translated as part of the text. Because the order differs from one embassy to another, tell us which embassy you are applying to and we will explain the best order before we begin your personal document translation.
What the Embassy Checks in a Translated Document
In every personal document translation for embassies, we pay attention to the points that officers usually check.
- Names match the passport. Names are written in the same Latin spelling used in your passport, in every document without exception.
- Numbers and dates. Document numbers, account numbers, dates of birth and issue dates are copied exactly as they appear in the original.
- Stamps and signatures. The text of stamps is translated and the positions of signatures and seals are indicated, so the document is complete.
- Every page. The reverse side, margins and notes are translated, because one missing line can be enough to have the translation rejected.
- The office stamp. Every page is delivered with the stamp of our certified office, in the format embassies usually accept.
Spelling Names Consistently Across Your Documents
One of the most common causes of visa delays is a name spelled differently from one document to another. A name may appear one way in the passport and another way in a translated birth certificate, so the officer sees what looks like two different people.
To avoid this, we ask for a copy of the passport of every person named in the documents and use the same spelling throughout the file. This includes the names of parents, children and spouses, as well as cities and issuing authorities. If someone does not have a passport, we agree the spelling of their name with you before we start and apply it to every document.
We also recommend keeping a copy of your certified translation and sending it to us if you need a new personal document translation for another application later. That way we can use the same spelling again and keep all your applications consistent.
Translation for Families and Students
Family files
When a family travels together or applies for family reunion, there are many documents with overlapping names: the children’s birth certificates, the marriage contract, the family card and the passports. We handle personal document translation for the whole family in one consistent file, so each person’s name is spelled the same way everywhere.
If a child is travelling with only one parent, some embassies ask for the other parent’s consent or additional documents. We translate these as part of the same file, so your application is complete in one go.
Students going abroad
Students usually need personal document translation for two files: one for the university, with certificates, transcripts and recommendation letters, and one for the embassy, with the acceptance letter, proof of financial means and health insurance. We translate both files and keep the student’s name and the names of educational institutions consistent across every document.

Common Mistakes That Delay a Visa Application
Partial translation
Translating only the front of a certificate, or leaving out stamps and handwritten notes.
Inconsistent names
A name spelled differently from the passport, or from one document to another in the same file.
Uncertified or wrong-language translation
A personal or machine translation without an office stamp, or an English translation for an embassy that requires its own language.
Some embassies also ask for a recent bank statement covering a specific period, so check the date range before you order.
